Terms & Conditions for Mudder Earth Parties


These Terms and Conditions apply to all parties provided by Alice Robins, trading as Mudder Earth. For more information on the Mudder Earth Party service please see www.mudderearth.com



General

  1. The outdoor, nature-based activities, hot drinks and some specified refreshments (see ‘Birthday cake and catering’ for breakdown) at your party are provided by Alice Robins (hereinafter referred to as “Alice Robins”, “me” or “I” or “Mudder Earth”).  I am trading as “Mudder Earth”, and was formerly trading as “Mudder Nature” until April 2025
  2. I am a sole trader with VAT registration number 8198085754, registered at my home address 8 Grangecliffe Gardens, SE25 6SZ.  
  3. For the first season of Mudder Earth’s birthday parties (May to Sept 2025), all parties take place in Grangewood Park at the location that has been used for weekly Mudder Earth playdates since October 2024. This site provides good natural shelter for rain, shade, and a wide diversity of natural interest points and spaces that we will use in our party activities
  4. A full risk assessment has been completed for our Grangewood Park site, which is available upon request
  5. Everyone attending the party, including adults, should wear clothing and sun protection, as appropriate to the weather, that they are happy to get painty, wet, and muddy. This advice will be included in our ‘Party Information and Guidelines for Parents/Adults’ that you will be sent to share with guests


Health and Safety, Adult Supervision and Responsibilities

  1. The customer will be sent a link to a unique ‘Little Guest Info Form’ to share with parents for them to complete. This is a short questionnaire; a light touch way for Mudder Earth to gather necessary health and safety information, and ages, extra needs etc., so parties can be tailored for all little guests to be able to participate.
    1. The Customer agrees to make sure the ‘Little Guest Info Form’ is completed for all little guests at least 7 days prior to the party
  2. Most dietary requirements can be accommodated with 1 weeks’ notice, e.g. dairy-free, vegan, Halal, Kosher and nut-free. 
  3. No nuts will be used in any food, drink or activities provided by Alice Robins at the party.
  4. I ask that you and your guests do not bring nuts to the party, as is now the policy at most schools and nurseries to protect children with serious allergies.   
  5. For each child, a named responsible adult, previously known to the child (not including Alice Robins), must remain present and individually responsible for the safety and wellbeing of that child while they participate in Mudder Earth led activities at the party.
    • For children aged 4 and under, we need the child to remain under the supervision of the adult they arrive with, normally their own parent or carer
    • For children aged 5 and over, it is an option for parents to handover their children at the party, provided that a named responsible adult (e.g. one of the other parents or one of the birthday child’s relatives), has agreed via our ‘Little Guest Info Form’  to take responsibility for that child’s safety & wellbeing throughout the party.
      • Each adult can be responsible for up to four children or young people aged 5-12.
  6. Adult responsibilities include guiding and supporting children to “look after themselves, look after each other, and to look after nature”.
  7. Some “Information & Guidelines for Adults” will be shared with the Customer once we receive all returns of the little guest info sheet. These will also include a map detailing our meeting point in the park, a reminder of what to wear, where to park, etc. They will be in pdf format so you can easily share with parents via WhatsApp or email.
  8. Some risk-taking is inherent in outdoor adventurous play, and the activity lead, Alice Robins has appropriate Paediatric and Outdoor First Aid qualifications, with a well-stocked First Aid Kit on site. This is available at the refreshment table. 
  9. Alice Robins will also complete a tailored risk assessment for the party that can be shared with the customer upon request, along with the Public Liability Insurance Certificate


Birthday cake and other catering

  1. Mudder Earth will provide:
    • A selection of coffees and teas, including decaffeinated options.
    • Milk and dairy free alternatives
    • Reusable cups
    • Fruit kebabs OR Hot Chocolates – as agreed with the customer. This will include dairy free options, and other options to meet any dietary requirements outlined in ‘Little Guest Info’ forms
    • Biscuits, including dairy free options
  2. The Customer will provide all other catering, including lunch and or birthday cake. Please note that barbecues are not permitted in the park. We recommend asking parents to bring picnic blankets, as Mudder Earth’s blankets will be filled with craft materials etc.

Toilets and waste disposal

  1. Unfortunately there are currently no working public toilets at Grangewood Park. The nearest toilets are in the row of cafes approximately 10 minutes’ walk from our party meeting point, at the top of South Norwood Hill, and can only be used if you buy something from the cafes.
  2. Alice Robins will dispose of all rubbish and recycling from Mudder Earth activities. We pride ourselves on looking after our beautiful (but sometimes under-loved) green public spaces, and will have labelled bags for mixed recycling and rubbish.
  3. Beyond this, the customer is responsible for disposing of all waste generated from any catering they arrange, e.g. waste from picnics, pizza boxes, drinks bottles. If the nearest park bin is full, please use another one or take your rubbish home. Wildlife will take and spread any rubbish left on top or or next to bins. Thank you.
  4. Alice Robins conducts a thorough litter pick before the setting up, and when packing up from party activities. Our aim is to leave the park in a better state than we found it every time, and we encourage children to share in this.

Payments and deposit

  1. A non-refundable £75 deposit must be paid, alongside the completed Booking Form to secure booking of your preferred date. 
  2. Through payment of this deposit you are deemed to have read, understood, and accepted our Terms and Conditions.
  3. Alice Robins reserves the right to decline your booking and undertake to refund your deposit.
  4. A full ‘Party Invoice’ (which will have the paid deposit as a deduction from costs) will be issued upon receipt of the completed Booking Form to by way of confirmation of your party 
  5. The ‘Party Invoice’ must be paid in full, by the date stated on the document, which will be at least 2 weeks prior to the party
  6. Additional items may be booked and invoiced after paying the ‘Party Invoice’, e.g. if you choose to add party bags, or more guests, up to 1 week prior to the party date. Items and guests cannot be deducted from the party invoice, e.g. if less guests come than originally anticipated   
  7. Current prices are outlined at http://www.mudderearth.com and vary according to party duration and the number of guests. A full breakdown will be included in your Party Invoice


Weather, cancellations and refunds

  1. Playing outdoors in (almost) all weather is at the heart of what we do at Mudder Earth, and we have weekly playdates year-round. I do not cancel or reschedule Mudder Earth parties due to rain or hot or cool temperatures. Instead I take steps to maximise enjoyment and comfort for all guests. For example, I can:
    1. Move activities under specific trees that I know to provide good natural shelter from rain and shade from sun
    2. Set up rain-play specific special activities
    3. Set up cooling water and ice-play special activities
    4. Encourage children to drink regularly 
    5. Tailor some of our craft activities on wet days – to avoid tears over soggy creations
  2. I ask that you remind guests to dress for the weather, including waterproofs and sun protection, as appropriate. Adults are responsible for ensuring that little guests are dressed appropriately, stay hydrated and are otherwise protected from manageable weather conditions.
  3. On some very rare occasions it may be necessary to cancel for everyone’s safety, e.g. if the Met Office has issued a severe weather warning for electrical storms, high winds, or extreme heat, and the Met Office provides advice that forecast conditions are incompatible with young children playing outside safely for the duration of the party at the time of our event. 
  4. In the very rare circumstance that I need to cancel a booked party, e.g. in the case of me being too unwell, or unsafe weather conditions (see above for example), you will be offered a 100% refund or a reschedule to a mutually convenient date, as you prefer
  5. Cancellations by the customer
    1. More than 28 days ahead of the party – 75% refund on the Party Invoice
    2. 15 to 27 days ahead of the party – 50% refund on the Party Invoice
    3. 14 days or less ahead of the party – no refund is available
